About 90% of failed same-day deliveries are preventable with better booking discipline. The remaining 10% are weather, vehicle mechanical failures, and traffic incidents. Focus the prevention effort on the 90%. This is the actual checklist for what to handle before the courier truck pulls up — covering pickup-side prep, building access, paperwork, and the booking info dispatch needs to get vehicle and crew out the door fast. The list is short. Following it cuts failed-delivery rate substantially.
What to Do at the Pickup Location
Label everything clearly — Sender, recipient, weight, fragile flags, special handling notes. Unlabeled packages get refused at strict receivers
Stage the load near the door or dock — Don't make the driver walk through the office to find the package. Reduces pickup time, frees the driver to dispatch faster
Have paperwork ready — Manifest, COI templates from receiving building, chain-of-custody forms if applicable, signed pickup acknowledgments
Confirm contact info — Recipient name and phone, sender contact, any special access codes for the destination
Secure fragile items with proper packaging — Bubble wrap, corner protectors, blanket-wrap if applicable. Fragile items handling guide
For pallets, use proper securing — Shrink wrap, strapping, corner boards. Pallet shipping guide
Refrigerated or temperature-sensitive items — Use proper packaging at pickup, communicate temperature requirements to dispatch. Medical specimen handling guide; HIPAA-compliant delivery requirements
Building Access Prep at the Destination
Confirm COI requirements — Most Class A commercial buildings and luxury residential require COI on file. Send dispatch the building's COI template at booking. Certificate of Insurance guide
Book the freight elevator if required — High-rise buildings run freight elevators on specific schedules. Manhattan high-rise delivery guide
Confirm doorman / front desk protocol — Some buildings require recipient to come down to the lobby for handoff
Confirm dock vs street pickup — Dock at receiver, freight elevator schedule, walk-up floor count. Detail in NYC commercial vehicle delivery regulations
For walk-ups, confirm floor count and stair access — Critical for furniture and heavy items. How to ship a mattress and furniture guide
For brownstones, measure doorways and stair turns — Common breakpoint where pieces don't fit
What Dispatch Needs to Send the Right Vehicle Fast
Pickup address with contact name and phone (not the company main number)
Drop address with floor, suite, or apartment number
