Hiring a courier service is a 5-step process: define your delivery need clearly, shortlist 3 candidates, request COI and references, run a test shipment, then onboard with a recurring business account. Skipping any of these steps is how businesses end up locked into a courier that costs more or fails more often than the alternative. Step 1: write down average shipments per week, peak shipments per day, typical pickup zip and dropoff zip, item type and weight range, time-of-day pattern, and whether you need weekend or after-hours coverage.
Step 2: shortlist 3 candidates. Don't shortlist on Google ad rank. Look for local NYC couriers with verified reviews, transparent pricing on their site, and active recent content (a courier whose blog stopped updating in 2022 has probably stopped investing in their service too). Ask peers in your industry for referrals — courier service is a high-trust purchase and referrals beat cold search. See Xentra's industry coverage and why businesses choose us.

Step 3: every courier you're seriously considering should provide a current certificate of insurance (with you named as additional insured if requested), 2–3 references in your industry, and a sample invoice so you can see exactly how charges are itemized. If any of the three takes more than 24 hours, that's your answer. See Xentra licenses and credentials and quality assurance documentation.
Step 4: run a test shipment. Book a single delivery before you commit to a recurring account. Use a real route and a real package. Watch every step: dispatch speed, driver communication, GPS accuracy, on-time arrival at pickup, on-time arrival at dropoff, proof of delivery quality, invoice clarity. One test shipment tells you more than 10 sales calls. See what to expect from a real rush delivery.

Step 5: once you've picked your courier, open a business account. You'll get invoice billing instead of per-trip credit card, saved pickup/dropoff addresses, named drivers for recurring routes, and usually a 5–15% per-mile discount. At Xentra, account onboarding takes 24 hours and includes a dedicated account manager for any operation moving 10+ deliveries per month. Open a Xentra account or see new business delivery setup guide.
What to avoid when hiring: couriers who won't quote in writing, couriers who can't produce a COI within 24 hours, couriers without GPS tracking, couriers whose dispatch only operates 9–5 if your business runs after hours, and the cheapest sticker rate without a full surcharge breakdown.
