Confirm venue access details. Every NYC venue has specific load-in rules. Confirm: loading dock location and hours, freight elevator availability and reservation requirements, security check-in procedures, and vehicle size restrictions. Many Midtown and FiDi venues require advance vehicle registration. Some Tribeca and SoHo venues have no loading dock and require street-level loading with city permits.

Build your delivery schedule. List every vendor delivering materials and assign each a load-in window. Sequence matters — staging and AV go first, then décor, then florals, then catering. Assign delivery times that match this sequence.

Day-Of: Load-In Execution

Arrive before your load-in window opens. NYC traffic is unpredictable. Build a 30-minute buffer before your first delivery. If your load-in starts at 8 AM, your first delivery should arrive at 7:30 AM.

Have a site contact on the ground. One person at the venue who knows the layout, has access to the freight elevator, and can direct deliveries to the correct room. Give this person's phone number to every driver.

Check every delivery against your manifest. As each delivery arrives, verify item count, check for damage, and sign off. If anything is missing or damaged, document it with photos immediately — before the driver leaves.

Clear packaging immediately. Boxes, wrapping, and pallets take up floor space that your setup team needs. Designate a staging area for packaging removal. Xentra Transport can handle packaging removal as part of white glove event delivery.

Schedule breakdown pickup in advance. Do not wait until the event ends to call a courier. Book your breakdown pickup when you book your load-in delivery. Xentra Transport handles both — we deliver in the morning and return for breakdown after the event.

Protect items during breakdown. Floral arrangements, AV equipment, and décor are just as fragile after the event as before. Re-wrap everything before loading. Label each item with its return destination — studio, warehouse, rental company.

Document returns. Photograph everything before it goes back in the vehicle. This protects you against damage claims from rental companies and vendors. Our drivers provide proof of pickup at breakdown and proof of delivery at the return destination.
